Accounting Coordinator

Clean Energy Systems is on a mission to power a more sustainable future—and we need a detail-oriented, team-friendly Accounting Coordinator to help keep our finances running smoothly.


In this role, you will manage the company's financial transactions with vendors, which involves processing and paying invoices, reconciling accounts, employee expenses, special projects including executive administrative needs, and maintaining accurate financial records.  Key responsibilities include verifying invoice accuracy and approvals, entering data into QuickBooks, communicating with vendors, assisting with month-end closing, and ensuring timely and efficient invoice payments to maintain the company's financial health.


Duties and Responsibilities include the following. Other duties may be assigned.

• Review, verify, and enter invoices and payment requests into the accounting system. 

• Process and schedule vendor payments and reconcile accounts payable sub-ledgers to the general ledger. 

• Respond to vendor inquiries, maintain primary vendor files, and resolve payment discrepancies or issues. 

• Maintain accurate financial records, documentation, and copies of invoices and purchase orders for tax and audit purposes. 

• Assist with month-end closing activities, such as providing supporting documentation for audits. 

• Ensure all transactions comply with internal policies and prevent unauthorized or fraudulent activities. 

• Process employee expense reports and receipt reconciliation

• Renew consultant agreements and help with annual 1099s

• Provide administrative support as needed; support on special projects; travel support


Qualifications:

• Attention to Detail—Crucial for accurate invoice data entry and payment processing

• Communication Skills—Ability to communicate effectively with internal teams and external vendors

• Time Management—Efficiently manage workload to meet payment deadlines

• Knowledge of Accounting Principles: Understanding basic accounting practices is necessary.

• Someone who is meticulous, organized, eager to collaborate, content, and a good communicator

• A motivated self-starter who not only takes initiative but also brings experience, professionalism, and resilience to the job


Education/Experience:

• A college degree or equivalent work experience (~ 4 years in accounting/finance)

Computer Skills:

• Computer Proficiency—Skilled in using accounting software via QuickBooks and other business tools such as Excel, Word

Work Environment:

• Normal in office environment 

• Sitting for long periods
